Can a bank statement replace a receipt?
It can replace the receipt as proof of payment, but usually not as proof that the expense was a deductible business cost. IRS Publication 583 says: "If you do not have a canceled check, you may be able to prove payment with certain financial account statements prepared by financial institutions." The statements "must be highly legible," and they have to show specific details:
| If you paid by | The statement must show |
|---|---|
| Check | Check number, amount, payee's name, and the date the bank posted the check |
| Electronic funds transfer | Amount transferred, payee's name, and the date the bank posted the transfer |
| Credit card | Amount charged, payee's name, and the transaction date |
Then Publication 583 adds the line that matters most:
"Proof of payment of an amount, by itself, does not establish you are entitled to a tax deduction. You should also keep other documents, such as credit card sales slips and invoices, to show that you also incurred the cost."
Why isn't the statement line enough on its own?
Because it shows that you paid, not what you paid for. Publication 583 says supporting documents "should show the amount paid and that the amount was for a business expense." A statement line covers the first half. Look at a typical one:
03/12 AMZN MKTP US*2K4 $86.41
That doesn't say whether the order was printer toner or a birthday present. For travel, meals, gifts and car costs, Publication 463 asks for evidence of the "amount, date, place, and essential character," plus a business purpose. A line like SQ *CORNER CAFE $64.20 doesn't show how many people ate or why.
What does the IRS say about canceled checks?
The same principle. Publication 463 says "a canceled check, together with a bill from the payee, ordinarily establishes the cost. However, a canceled check by itself doesn't prove a business expense without other evidence to show that it was for a business purpose." A statement or check plus the bill, invoice or order confirmation is the usual pairing.
When does the $75 exception help?
For travel, meals, gifts and transportation under $75 (but never lodging), Publication 463 says documentary evidence "isn't needed." The same goes for transportation costs where a receipt "isn't readily available." For those expenses, a statement line plus your own record of the business purpose, date and place can do the job, because there was no receipt requirement to begin with.
The exception doesn't remove the need for a record. It removes the need for a receipt. And it's written in Publication 463 for those specific expense types. For general purchases like supplies or software, follow Publication 583's supporting-document rule and ask your CPA how they want small items handled. The full rules are in IRS receipt requirements.
What should I add to a statement line?
Add whatever the statement can't show:
- What it was. "Toner cartridges," not "Amazon."
- Why it was for the business. One line of business purpose.
- Who, for meals. Who attended and the business relationship. A restaurant receipt adequate under Publication 463 shows the number of people served.
- Which trip, for travel costs, with dates and destination.
- A linked document where you have one: an emailed order confirmation, invoice, hotel folio or app receipt.
Write it at or near the time. Publication 463 counts a weekly log as timely.
Example: four lines from a freelancer's statement
A freelance videographer reviews four lines from a March card statement. All numbers are fictional.
| Statement line | Statement proves | Still needed | What the videographer adds |
|---|---|---|---|
| AMZN MKTP $86.41 | Paid $86.41 to Amazon on 3/12 | What was bought | Order email: two SD cards for client shoots |
| SQ *CORNER CAFE $64.20 | Paid $64.20 on 3/14 | Business purpose and who attended (under $75, so no receipt required) | Note: coffee meeting with M. Diaz, Fairview Events, wedding package pitch |
| MARRIOTT DOWNTOWN $289.00 | Paid $289 on 3/18 | Lodging always needs documentary evidence | Hotel folio (emailed): 1 night, room and tax shown separately |
| ADOBE *CREATIVE $59.99 | Paid $59.99 on 3/20 | What it was and why | Emailed invoice: monthly editing software subscription |
Every line now has proof of payment plus something showing what the cost was. Whether each one is deductible, and on which Schedule C line, is for the videographer and their CPA to decide.
What if my receipts are gone for good?
Start with the statements, then rebuild from email confirmations, vendor reprints and your own dated written statement. Publication 463 allows other supporting evidence when records are incomplete, and for travel, meals, gifts and car costs it adds that "you can't deduct amounts that you approximate or estimate." See lost receipts for taxes, and set up a receipt routine so it doesn't happen again.
Where Amy fits
A statement line shows that you paid, rarely why. Send Amy the bank statements you already have and she finds the record behind each charge, tells you what's still missing and asks only what the records can't say. You and your CPA decide what's enough.
